A government agency with hundreds of employees relied on multiple systems to manage timecard information, time off and accrual data, and financial information.
Because this information lived across separate systems, staff did not have an easy way to analyze it together. Several recurring processes required employees to manually review information and compile data from multiple sources.
These processes included identifying employees who used more time off than they had available, finding vendors that had not received an invoice in the past three years, tracking union membership changes, and analyzing employee benefit usage.
SCS worked with the agency to connect these sources and create an automated reporting environment that made the information easier to access, analyze, and act on.

The new reporting environment gave the agency faster access to information that previously required recurring manual review and reconciliation.
Timecard issues could be identified earlier. At the beginning and end of each pay period, staff could identify employees who entered time off they did not have available. Employees could then correct the issue before the timecard reached supervisors for approval, reducing manual review and lengthy reconciliation after submission.
Inactive vendors became easier to identify. Staff could quickly find vendors that had not received an invoice within the past three years and inactivate them according to the agency's standard procedures. This replaced a periodic manual review process.
Union reporting was automated. The agency could automatically send Excel reports to the appropriate representatives for each union, including information about new hires, separations, and transfers affecting membership. The previous process required several hours of manual work each week.
Employee benefit data became easier to analyze. Staff gained access to reports summarizing benefit usage across attributes such as union, manager, and cost code. This made it easier to understand which benefits employees used most frequently and identify anomalies in the data.
By connecting information across systems and automating recurring reporting tasks, the agency reduced manual effort while giving staff faster access to the data they needed for day-to-day decisions.
